Terms of Service

Last updated: October 5, 2026

These terms govern your use of Proto Project Management (ProtoPM). By creating an account or using the service, you agree to them. This is product wording for how ProtoPM works today — not a substitute for legal advice.

Operator

Proto Project Management (ProtoPM) is operated by Crescenta Systems (crescentasystems.com). Contact: [email protected].

The service

ProtoPM provides project management tools for contractors and trades: companies, projects, schedule, field logs, costs, changes, risks, lessons, invites, and related features. Some extras are sold as optional company add-ons. Features may be added or removed over time.

Accounts

  • You must provide accurate information and keep your password secure.
  • You must verify your email before signing in for the first time.
  • Creating an account requires agreeing to these Terms and the Privacy Policy.
  • You are responsible for activity under your account. Guests and invitees must use only the access they are given.
  • You may export your account data or delete your account from Account settings as described in the Privacy Policy.
  • We may suspend or close accounts that abuse the service, violate these terms, or create security risk.

Acceptable use

You agree not to:

  • Break the law or infringe others’ rights with the service.
  • Probe, disrupt, or overload the system, or try to access data you are not invited to see.
  • Upload malware, spam, or content that is unlawful or harmful.
  • Misrepresent your identity or affiliation when inviting others.

Your content

You retain ownership of the project and job data you enter in your workspace. You grant us a limited license to host, process, and display that content only to operate ProtoPM for you and your invited members, and to serve content you choose to publish publicly. You are responsible for having the rights to the data you upload.

If a company owner or admin publishes a firm showcase, the selected business and contact details, general locations, project stories, logos, photos, and captions are available to anyone with the public link. The publisher controls publication and search-engine indexing separately and is responsible for selecting content they are authorized to make public.

Free plan and company add-ons

  • Free: core job tools with unlimited projects, members and project collaborators; your first company free (extra companies are an add-on); a free storage allowance and monthly PDF export, version and branded-invoice allowances per company, as described in the product. Free has no end date. Free companies may show labeled ads when advertising is configured and you have accepted advertising cookies. Public guides, templates and blog posts may also show labeled ads to visitors.
  • Add-ons: optional extras (for example storage packs, Documents & Branding, Firm Showcase, Bid Board seats, or the All-in bundle) are bought per company by an owner or admin, billed monthly or yearly at the prices shown at checkout (Add-ons from $5 CAD/mo). Any active add-on removes ads for that company. Bid Board seats belong to the company, which may assign, revoke and reassign them.
  • Cancelling and lapses: you can cancel add-ons from Settings; they continue until the end of the paid period. When an add-on or prepaid code ends, the related features become read-only (for example, uploads beyond the free storage allowance pause) until the add-on is active again. Projects, logs, invoices and other records are kept. If a company stays over its storage allowance for 60 days, we email its owners and admins on the day it goes over and again before the deadline, then remove its largest uploaded files, only until it is back within the allowance.
  • License codes: prepaid codes (including codes bought for another company) add a fixed term of an add-on to the company they are redeemed for. Codes are single-use, must be redeemed before their expiry date, and are not refundable once redeemed.
  • Account tip emails (for example a first-job reminder) may be sent unless you stop them in Settings or via the link in those emails. They are not a newsletter.
  • ProtoPM does not guarantee project outcomes, awards, or that any particular feature will remain available forever.

Disclaimer and liability

ProtoPM is provided “as is” and “as available.” We aim for a reliable service but do not promise uninterrupted or error-free operation. To the fullest extent allowed by law, we are not liable for indirect, incidental, special, or consequential damages, or for lost profits, data, or business arising from your use of the service. Our total liability for a claim relating to the service is limited to (a) the amounts your company paid us for add-ons in the three months before the claim, or (b) CAD $50, whichever is greater.

Some jurisdictions do not allow certain limitations; in those places, our liability is limited to the maximum permitted by law.

Governing law

These terms are governed by the laws of Saskatchewan, Canada, without regard to conflict-of-law rules. Privacy rights for California residents are described in the Privacy Policy.
