What ProtoPM does for you
- The database is backed up automatically, with point-in-time recovery.

Keep your own copy
- Open the project and choose Export project, the download button at the top right.
- Under What to include, choose Everything.
- Under Format, choose Excel spreadsheet to keep records or move your data, or PDF report to read and file.
- Choose Export and save the file. Repeat for each project you want to keep.
- Download the files and photos you need from the Files tab. Exports list files by name, without the files themselves.
- For invoices, open Financials and choose Export CSV to import them into QuickBooks Online.
- For your account, open Settings and choose Export my data to download a JSON file.
What each export contains
- Project export: the sections you choose (one sheet each in Excel), covering overview and updates, budget, invoices and financial history, schedule, file list, daily logs, punch list, inspections, change log, risks, lessons learned and team.
- Invoice CSV: the project's invoices, ready for QuickBooks Online.
- Account data (JSON): your profile, company and project memberships, a summary of the projects you own, invoices you sent as a guest, and your notifications.
When to export
- At closeout, so the finished job is on file with your other records.
- Before you delete a project or close your account.
- On a regular schedule for active jobs, if your contract or client needs records kept outside the app.
- Free includes 10 exports per company each month; the Documents & Branding add-on makes them unlimited.

- Does ProtoPM back up my data?
- Yes. The database is backed up automatically with point-in-time recovery, and deleted projects stay in the Recycle bin for 30 days.
- Can I export all my construction project data?
- Yes. Export each project with Everything selected as an Excel spreadsheet or PDF, export invoices as CSV, and download your account data as JSON from Settings. Download files and photos from the Files tab.
