How does ProtoPM handle change orders?

Reviewed October 2026

Changes are recorded in the project's Change Log with the reason, cost impact, requester and approver. A team member with edit rights moves each one from Pending to Approved or Rejected, then Implemented. Clients can read the log but cannot approve inside ProtoPM.

It's free to run projects in ProtoPM.

What a change record holds

  • Type, category and description of the change
  • Impact area, with the old and new value
  • Justification: why it is needed
  • Requester, approver, priority and status
  • Cost impact for financial changes, plus a free-text note on other impact

The approval flow

  1. Log the change in Project Delivery, then Change Log.
  2. It stays Pending until someone decides.
  3. A user with edit rights marks it Approved or Rejected. The approver is recorded.
  4. An Approved change can then be marked Implemented.

Sharing changes with the client

  • Viewers can read the Change Log, read-only.
  • The client status report PDF lists changes awaiting a decision.
  • The full project export (PDF or Excel) includes the whole change log.

What isn't included

There is no e-signature and no approval link that works without signing in. The client's decision is recorded by a team member.

Is the change log free?
Yes. It is part of the free plan. No credit card.
