Can subcontractors and clients use ProtoPM?

Reviewed October 2026

Yes. Subs, clients and architects join a project as free collaborators, with no per-seat charge. Viewers can read most of the job but not the budget; Guests see only their own invoices and milestones.

It's free to run projects in ProtoPM.

Project roles

  • Owner: runs the project. There is one Owner at a time, and ownership can be handed over.
  • Manager and Member: work in the project. Members do not see Administration.
  • Viewer: read-only access to General, Schedule, Files, Field, the Change Log and invoices. No budget, no Risks or Lessons learned, no Administration. New invites are Viewers by default.
  • Guest: sees only their own invoices and their own milestones. Nothing else in the project.

How to invite someone

  1. Open the project and choose Share in the project header (Owners and Managers).
  2. Enter their email address and choose a role. Viewer is the default.
  3. They receive an email and join with a free account.

No seats, no cost

  • Collaborators join projects, not your company, so they never see your other projects.
  • There is no per-user or per-seat fee. Project collaborators are free and unlimited.
  • A collaborator can also run their own free company in ProtoPM.

What isn't included
