What doesn't ProtoPM do?

Reviewed October 2026

ProtoPM runs the job: schedule, daily logs, punch list, inspections, budgets, invoices and changes, free for unlimited users. It doesn't have cost codes, purchase orders, time tracking, offline mode, plan markup, accounting sync or estimating.

It's free to run projects in ProtoPM.

Money and procurement

  • No cost codes, such as CSI MasterFormat or Uniformat. Each project has one budget, one forecast and actuals, not a breakdown by code.
  • No purchase orders or committed-cost tracking.
  • No QuickBooks, Xero or other accounting sync, and no tax-rate presets. Invoices export as CSV.
  • No payroll, and no estimating or takeoffs.

Field and crew

  • No time tracking, crew time clock or timesheets. A daily log records the crew count, not hours per person.
  • No offline mode and no app-store app. ProtoPM runs in the browser and needs a connection.
  • No plan markup or pins on drawings. PDFs open in the Files tab.

Clients, subs and approvals

  • No e-signature and no approval link that works without signing in.
  • No branded client portal.
  • No linked network between two companies' own workspaces. Subs and clients join the project you invite them to, free, and keep their own company separate.

Closeout and handover

ProtoPM has a Closeout checklist that blocks closing while milestones, punch items or inspections are open. It does not compile O&M manuals, as-builts or warranties into a handover package. How closeout works.

Platform

  • No single sign-on.
  • The public API covers service health, the free tools and feature requests, not project data.

What to use instead

  • Cost-code job costing and purchase orders: pair ProtoPM's job record with accounting or estimating software.
  • Crew hours: a time-tracking app, with the totals entered in the daily log notes.
  • Drawings and markup: a plan tool such as Fieldwire, with a pasted link in the project's Files tab.
  • Estimating: keep your estimating tool for takeoffs.
