How to close a project
- Open the project's General tab.
- Finish the milestones of the current phase, then choose Move to Closeout beside the phase steps.
- In Closeout, the Closeout checklist lists what is still open, with an Open link to each item.
- Resolve the items. When everything is done the checklist says so.
- Choose Close project.
What blocks closing
- Any milestone that isn't done
- Any punch item that is still open
- Any inspection that is Scheduled or marked Re-inspect
- Sections your company has hidden are not counted.
What only warns
Warnings never stop you from closing. They are there so nothing slips through.
- Unpaid invoices
- Change requests still Pending or Approved but not Implemented
- No lessons learned recorded
- Actual costs over budget
Handover documents
ProtoPM does not compile an O&M manual, as-built or warranty package for you. Keep those files, or links to them, in the project's Files tab, and use the free closeout checklist template as your list.
Reopening and who is told
- Moving a project back a phase, or reopening a Closed project, is never blocked.
- The team gets an in-app notice when the phase changes. No email is sent.
